Brief Overview

When global law firm Holland & Knight began a multi-phase workplace transition in its Washington, DC office, the project required careful coordination to relocate personnel, furniture, files, and equipment while maintaining business continuity. The overall initiative involved approximately 400 employees and was structured as a four-phase project. Office Movers Express (OMX) was selected to manage Phase 1, which included the office relocation of approximately 100 employees and the movement of assets between multiple destinations.

Challenges

Managing Multiple Destinations Simultaneously:

Unlike a traditional office move where all assets are transferred to a single location, Holland & Knight’s project involved several destinations operating at the same time. Furniture, files, and equipment needed to be:

  • – Relocated within the Washington, DC office
  • – Transported to OMX’s secure warehouse for storage
  • – Delivered to a satellite office in Tysons, Virginia

With hundreds of assets moving between locations, maintaining accountability and preventing misplaced items was critical.

 

Protecting Productivity During a Phased Move: 

As an active law firm, Holland & Knight needed to continue serving clients throughout the project. The move had to be completed with minimal disruption to attorneys, legal staff, and administrative teams.

 

Maintaining Accurate Asset Tracking:

Legal environments often require detailed control over furniture, records, and equipment. With assets moving in multiple directions, clear identification and communication were essential to ensure every item arrived at its intended destination.

Strategic Phased Move Planning:

OMX developed a detailed phased relocation strategy that broke the project into manageable segments. This allowed each portion of the move to be executed in a logical sequence while supporting the firm’s ongoing operations. The phased approach minimized disruption and created a clear roadmap for employees and project stakeholders throughout the transition.

 

Comprehensive Asset Identification & Tracking: 

To maintain control of assets across multiple destinations, OMX implemented a detailed tagging and tracking process. Every item was:

  • – Identified and labeled before relocation
  • – Assigned to a specific destination
  • – Tracked throughout transportation and delivery
  • – Verified upon arrival

This process ensured assets were accurately routed whether they were moving internally, entering storage, or being delivered to the firm’s Tysons location.

 

Centralized Communication & Coordination: 

OMX worked closely with project stakeholders to coordinate schedules, manage logistics, and communicate progress throughout Phase 1. This proactive approach helped eliminate confusion and kept all parties aligned as the project moved forward.

 

Results

Successful Completion of Phase 1:

OMX successfully relocated approximately 100 employees as part of the first phase of the larger four-phase initiative.

 

Accurate Multi-Destination Asset Management:

Furniture, files, and equipment were successfully routed to their designated locations, including:

  • – Internal office destinations
  • – Secure warehouse storage
  • – Satellite office space in Tysons

 

Reduced Business Disruption: 

The phased approach enabled Holland & Knight to continue daily operations while the relocation project progressed, minimizing interruptions to attorneys and support staff.

 

Foundation for Future Phases: 

By establishing a structured process and proven tracking methodology during Phase 1, OMX created a scalable framework that supported the remaining phases of the firm’s approximately 400-person relocation program.
